Overview
Commercial meeting summaries are designed for sales conversations between pharmaceutical representatives and Healthcare Professionals (HCPs). These summaries transform your sales calls into actionable commercial intelligence, helping you track customer needs, manage follow-ups, and identify opportunities.
Use this summary type for:
-
Rep-to-HCP sales calls
-
Territory account reviews
-
Product promotion discussions
-
Formulary and access conversations
What's Included
Every commercial summary contains five key sections designed to give you immediate insight and clear next steps.
1. Commercial Summary
What it is: A concise narrative (max 200 words) that captures the entire conversation in one paragraph.
What it covers:
-
Your meeting objective/agenda
-
Key discussion points
-
HCP needs and concerns raised
-
Objections and how they were addressed
-
Access or formulary context (if discussed)
-
The agreed direction or outcome
Example: (high-level example)
The Rep met with the HCP to discuss treatment options for [Condition X], focusing on [Product A] as a first-line therapy option for eligible patients. The Rep highlighted the clinical benefits including [efficacy endpoints], alignment with current [clinical guideline authority] recommendations, and practical advantages for the practice including streamlined dosing and administration protocols. The HCP expressed interest in the simplified treatment regimen but noted they would need to review the clinical data with colleagues before making any formulary decisions. Key discussion points included comparative efficacy versus current standard of care, budget impact for the practice, and patient selection criteria. The Rep addressed questions about dosing flexibility and provided information on available patient support programs. No immediate objections were raised, though the HCP emphasized the importance of peer input in treatment decisions. The agreed direction is for the HCP to present the information at their next clinical team meeting, with the Rep following up afterwards to address any additional questions.
Why it matters: Gives you the full picture at a glance without needing to read the entire transcript or your notes.
2. HCP Insights
What it is: Up to 3 bullet points that capture the HCP's perspective, preferences, and decision-making drivers.
What it covers:
-
What motivates this HCP's decisions
-
Patient population considerations
-
Competitive product mentions or preferences
-
Barriers to adoption
-
Clinical or practical preferences
-
Business or formulary considerations
Example:
Prefers simplified, single-dose adult vaccine regimens ([Product A]/[Product B]) for ease of administration and reduced errors.
Requires some [Product C] for under-18s and is aware of the need to follow licensing and guidance for paediatric cohorts.
Sees unpredictable demand for both seasonal and [product] vaccines, and values flexibility in ordering and top-ups.
Why it matters: Helps you understand what really matters to this HCP so you can tailor future conversations and offerings.
3. Rep Actions
What it is: Up to 3 numbered, specific actions you need to take, complete with success criteria and due dates.
Format: Each action follows this structure: [Action description]. Success: [What success looks like], Due: [Timeline]
Example:
Send confirmation email for the provisional 2,500 [product] order and ensure the HCP receives automated notifications. Success: HCP receives and files the email, Due: Immediate.
Remind HCP in October to confirm or adjust the order for next season. Success: HCP responds and finalises order, Due: October.
Arrange for the medical team to provide updated information on dosage schedules and regulatory status. Success: HCP receives clarification from the medical team, Due: As soon as possible.
Why it matters: No more hunting through notes for what you promised to do. Every action is extracted, measurable, and time-bound.
4. HCP Commitments
What it is: A numbered list of specific actions the HCP agreed to take, with timelines.
When it appears:
-
Shows numbered commitments when the HCP made specific promises
-
Displays "No HCP commitments" when none were secured
Example:
Monitor stock and bookings, and adjust [Product C] orders for under-18s as needed. Due: Ongoing.
Confirm or amend the provisional order in October following Rep's reminder. Due: October.
Why it matters: Tracks accountability and gives you clear follow-up points. If you see "No HCP commitments," it may signal an opportunity to strengthen your close in future calls.
5. Missed Action Points
What it is: Bullet points highlighting topics that needed follow-up but didn't get clear next steps during the conversation.
What it flags:
-
Unanswered questions
-
Topics that could advance the relationship
-
Potential risks or gaps
-
Opportunities for future engagement
Example:
No clear follow-up on ensuring all team members are briefed on the adult-only licence for [Product A]/[Product B].
No specific plan for managing potential shortfall in [Product C] for paediatric patients if demand increases.
Why it matters: Automatically identifies opportunities you might have missed, helping you continuously improve your call effectiveness.
